Rental unit key turnover sheet
Fill in one sheet for each unit when a tenant leaves and the next arrives. You end up knowing where every key is, with a signed record on file.
Tenant moving out
- Check the keys handed back against the number you gave out
- Get back every fob, garage remote and mailbox key
- Write down any lock, door or strike plate that is damaged
- Reset the garage keypad and delete the old tenant from any smart lock
Before the next tenant
- Have the entry locks for the unit rekeyed
- Rekey or recode the storage, mailbox and garage access that goes with the unit
- Try each lock with the new key
- Every entry door shuts, latches and locks as it should: the landlord keeps the unit in a good state of repair (Residential Tenancies Act, s. 9(1), statutory condition 1)
Tenant moving in
- List the keys, fobs and remotes handed over, and get a signature
- Give the tenant a number to call if they are locked out
- Point out that neither landlord nor tenant changes an entry door lock during the tenancy without the other's consent (statutory condition 8)
Paperwork
- Keep a running key log for each unit
- Store this sheet with the signed lease
